Overview

Philanthropist is gathering a brain trust of cutting-edge thinkers in the field of Artificial Intelligence in order to ensure that growth in this field is consistent with established parameters that ensure practical safety. He is the founder of a foundation which has tangible goals with respect to legislation, self-governance within the AI developm...ent community, and using AI applications for widescale humanitarian impact.

He seeks an Executive Assistant who will help him realize his ambitious goals on multiple fronts: communications with principals within the AI research and business communities and high-visibility board members on his foundation; establishing operations for his organization; providing executive support and limited personal support.

The scope of this role will require coordinating additional staff as needed.

The Principal requires a two-year time commitment and seeks candidates with highly competitive academic qualifications: top twenty US college, high familiarity with AI programs and capabilities, an understanding of philanthropic practices and structures, enormous intellectual capacity.

This person needs to have the capacity to think creatively, sharply, quickly, and to be able to struggle with big ideas.

They should be comfortable interacting with very high-level stakeholders.

At the same time, they must be able to attend to the daily practices of managing details and many moving pieces.

The position is in Boca Raton for October-April and Nantucket May-September.

In Florida, you are responsible for housing but will be provided a vehicle.

On Nantucket you will be given a private room on the principal’s very large property and your own car.

Additional travel will be required as needed.

Requirements

· BA/BS from top 20 US college.

Graduate degree preferred but not required

· AI literacy

· Fluency in all major software platforms: MS Office, Google Workspace, Excel, Adobe, PowerPoint

· Exposure to philanthropic practices

· Up-to-date cultural literacy about Big Tech, the current pressing issues

· Interest in big ideas and the capacity to metabolize them

· Outstanding organizational and project management skills

· Experience with UHNW and high-profile individuals

· Able to push back professionally and protect boundaries when necessary

· Driver’s license

· An unfailing sense of responsibility, ethics and decorum

Responsibilities

· Support day-to-day structure that keeps the principal’s personal and professional life in order

· Serve as a first point of contact for high-level individuals and trusted partners

· Shield, filter, and prioritize inbound requests so only high-value matters reach the principal

· Draft, edit, and send communications on behalf of the principal

· Own and manage a complex, multi-business calendar with precision and authority

· Anticipate needs, plan ahead, and course-correct schedules in real time

· Establish effective operational systems to capture workflow

· Plan for anticipated needs associated with foundation’s growth

· Help principal establish fundamental priorities and with time management

· Ensure principal has additional support personnel essential to his mission’s success

· Track goals, commitments, and long-term initiatives

· Act as a thought partner and gentle enforcer—helping maintain focus and follow-through

· Leverage advanced computer skills and AI tools to improve efficiency and organization

· Manage passwords, credentials, documents, and digital systems securely

· Coordinate travel, logistics, and draft detailed itineraries

· Prepare agendas, notes, summaries, and action items

· Organize contracts, documents, and sensitive information for rapid access
